Three steps, always the same

Any order, and anyone in the shop can do them. There is nothing else to remember.

You take the photo

An invoice, a delivery note, the till tape at close. That is all.

It reads the paper

Items, quantities, prices, GST & QST. Anything that doesn’t add up to the cent, it sets aside instead of guessing.

You confirm

The reading shows up beside the photo. Glance, fix anything with a tap, confirm.

The paper you already have

Nothing new to make — these sheets already pass through your hands every week.

Supplier invoices

What your suppliers deliver: the beer, the chips, the cigarettes.

The till tape

The evening total, at close. That is what tells it what sold.

The lottery slip

The daily readout, so the till drawer balances.

Rent & bills

Your shop bills: rent, electricity, internet, phone.

A long receipt

Take it in two or three photos. It stitches them back together.

In any order

The delivery note Monday, the invoice Thursday. It ties them together.

One good photo, and it does the rest

This is the only real secret. One well-taken photo saves ten corrections later.

Do

Flat on the counter, smoothed out.
All four corners in the picture.
Good light, no shadow across it.
Phone straight above, square to the sheet.
One sheet at a time.

Avoid

Crumpled or folded like an accordion.
The top cut off — that is where the date is.
Too dark, or blurry from a moved hand.
On a slant, so the columns lean.
Two or three sheets in one photo.

Two things no invoice can tell it

The invoice gives what you paid. Enter these two once, and it can work out what you earn.

How many are in the box

You buy a case, you sell one at a time. Tell it how many units are inside.

Your selling price

The price you ask the customer. You decide it — tell it once.

Tell it once, it remembers

Every time you fix something, it keeps it. After a few weeks it does most of the work itself.

Your suppliers

Tell it once that a bill is heating. Every bill after that files itself.

Your buying rhythm

It sees how often each thing comes back, and nudges you to reorder.

What keeps you going

It puts the items that earn the most in front of you — not the ones that only look busy.
